Terms of Service

The agreement between you and Roomline for using roomline.app. Effective September 25, 2026.

By creating an account or using Roomline, you agree to these terms and to the Privacy policy. If you use Roomline for a company, you agree for that company and confirm you can bind it.

What Roomline is

Roomline is software for keeping property records: properties, rooms, tenants, agreements, rent, utilities, files, repairs, and condition records. Roomline is not a landlord, property manager, real estate broker, or law firm, and it does not give legal, tax, or financial advice. Roomline does not collect rent, hold deposits, or move money; recording a payment only notes money you received elsewhere.

Your account

Keep your sign-in details private and tell us at [email protected] if you think someone else has used your account. You are responsible for activity in your account, including by anyone you share access with and by AI assistants you connect.

Trials, subscriptions, and cancellation

Paid plans start with a 14-day free trial. A card is required to start it. Unless you cancel before the trial ends, your plan starts automatically and your card is charged the plan price shown at checkout, then again every month or year, depending on the billing period you chose, until you cancel. Each account gets one free trial.

Cancel any time in Settings → Billing → Manage subscription. Cancellation takes effect at the end of the current trial or billing period, and you keep access until then. Payments are not refunded for partial periods, except where the law requires it. You can switch plans in the same place; upgrades are charged the prorated difference right away, and downgrades take effect at the next renewal.

We may change plan prices. We will tell you by email at least 30 days before a new price applies to you, and it will only apply from your next renewal after that notice. Prices exclude taxes where taxes apply.

Plan limits

Each plan includes a number of properties and of active units or bedrooms, as described on the pricing page. If you are over a limit, your existing records stay available and editable, but you cannot add more until you remove some or change plans. Roomline never moves you to a more expensive plan without your action.

Your records and your tenants’ information

You own the records and files you add. You give Roomline permission to store, process, and display them only to run the service for you, as described in the Privacy policy. We do not sell them.

Only add information you are allowed to keep. When you add information about tenants or other people, you are responsible for having a lawful reason to hold it and for telling them how it is used where the law requires it; Roomline processes it on your behalf. You are responsible for how you use Roomline in your rental business, including following fair housing, landlord–tenant, privacy, and tax laws where your properties are.

AI suggestions and assistants

AI features suggest things, such as the room a repair belongs to or the terms read from a lease. Suggestions can be wrong. Check them before relying on them; they are not legal, tax, or financial advice. AI assistants you connect act on your instructions with the access you grant them.

Acceptable use

Do not use Roomline to break the law, to discriminate against applicants or tenants, to store information you have no right to hold, to harass anyone, or to interfere with the service or other accounts. Do not try to reach data that is not yours, probe or overload the service, or resell it without our written agreement.

Other services

Roomline relies on providers such as Stripe for payments and Plaid for bank connections. Using those features also means agreeing to their terms. We are not responsible for services we do not run.

Changes to Roomline and to these terms

We improve Roomline over time and may change or remove features. If we change these terms in a way that matters, we will email you or tell you in the app before the change takes effect. Continuing to use Roomline after that means you accept the new terms.

Ending your account

You can stop using Roomline and ask us to delete your account at any time; see Retention and deletion. Export anything you want to keep first. We may suspend or close an account that breaks these terms or leaves invoices unpaid, and will tell you why unless the law or safety prevents it.

No warranty

Roomline is provided “as is” and “as available”. As far as the law allows, we disclaim all warranties, including merchantability, fitness for a particular purpose, and non-infringement. We work to keep Roomline available and your records safe, but we do not promise it will be uninterrupted or error-free. Keep your own copies of important documents.

Limitation of liability

As far as the law allows, Roomline is not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, rent, or data. Our total liability for any claim about Roomline is limited to the amount you paid us in the 12 months before the claim. Some places do not allow these limits, so they may not all apply to you.

Your responsibility for claims

If someone brings a claim against Roomline because of records you added or how you used Roomline in your rental business, you agree to cover the reasonable costs of that claim, as far as the law allows.
